Adding files using WordPress download

Near the bottom of the left panel in WordPress is the “WP file download” editor. This page lets you manage the files displayed in the publications section of the site.

The editor resembles a typical file explorer window, with the list of folders on the left and the list of files on the right. You may need to select a folder for the files to show up. 

On the file list, as seen in the above screenshot, you will be provided with (left to right) the type of file (e.g. PNG, JPG, PDF, DOCX, etc.), the name of the file, the size of the file, and the date the file was uploaded to the system. 

You may also have a right-hand panel that looks something like this:

 

This menu contains advanced web design features and is not necessary for general use. You can close this panel using the arrow button at the top of the page.

Adding a file

To add a file, first ensure you have selected the correct folder in the left-hand folder list. If you would like to add a folder, click the 'new' button at the top of the menu. 

Then you can upload a file in one of two ways:

  • Drag the file from your computer’s explorer onto the drag and drop area of the editor
  • Click the “select files” button to open a file selection window and choose which files to upload

Accessibility guidance

Documents such as Word, Excel or PDF are not great in terms of accessibility.

Any documents created prior to 23 September 2018 can be classed as a disproportionate burden as it would take too much time and money to convert the files to an accessible format. However, you must be shown to be actively improving the accessibility of all documents from 23 September 2018 to present.

The accounts and budgets page does not have the functionality for you to upload a HTML version, so you can still upload files but please ensure that they are accessible using guidance available online.

Deleting a file

To delete a file select it in the main file list, then a set of options will appear at the top of the screen.

Click on 'delete' to remove the file.

Copying a file

To copy a file into another folder, first select the file in the main file listing and a set of options will appear at the top of the screen.

Click on “copy” to remember the file you want to copy. Now change folder to where you want the copy to be made (it can be in the same folder if you wish). Then click on “paste” to create a copy in the current folder.

Moving a file

To move a file into another folder, you can drag it from the main file list onto the desired folder in the left panel. 

Downloading a file

To download a file to your computer, select the file in the main file listing and a set of options will appear at the top of the screen. 

Click on “download” to download the file.

Renaming a file

If you wish to rename a file without uploading a new version, you can use the advanced file menu on the right of the page. If the panel is closed, click on the left-facing arrow in the top right of the screen to show the panel.

Select the file and the right panel will change to show the file information. In the “title” section you can change the filename and title. Click “save settings” once you are happy with the new filename.
