How to apply online for a DBS

Please note: this service is only available for individuals that will be working on Staffordshire County Council home to school transport contracts.

If the applicant is not registered with the DBS update service they will need to submit an application for a new DBS check and register with the update service.

When making an online application applicants must not use a personal email address, they must use a company email address.

If individuals do have an enhanced (child & adult workforce) check and they are registered with the DBS Update Service please notify us.

How to apply online

Applications are made online via a secure web service (this link will open in a new tab) and must be completed in full.

You are not permitted to enter DBS applications on behalf of individuals without them being present to verify all information.

Once at the login page:

  • Click on “Start Application” in the orange box.
  • Enter Organisation Reference: integratedtransport and click on 'Enter' (a password is not required).

Proving your identity and providing additional information

Before your application can be processed by DBS you are required to present a combination of original documents to prove your identity. It is vital that you present the required number of valid documentation, in addition to this everyone will need to provide:

  • A passport style photograph (colour).
  • A completed and signed self-declaration form.

And: if you have lived outside the UK for six months or more within the last 5 years you will also need to provide:

  • A certificate of Good Conduct or References x 2
  • A sworn statement in the Staffordshire County Council approved format.

You must present these at a pre-arranged date and time.

Your application will be delayed and additional costs incurred if you fail to provide or provide unacceptable / insufficient information.

Update service registration

As soon as you receive an E-reference number individuals must be signed up / sign up to the update service, you are required to do this immediately.

There is an annual cost to the individual of £13 but continued registration keeps your certificate up to date and can be used for other roles where the level of check and workforce are the same.

How to register to the update service

  1. Go to www.gov.uk/dbs-update-service.
  2. Read the information about the service.
  3. Under the heading 'Applicants' click on register for the update service.

You will need to enter your details:

  • Name
  • Gender
  • Date of birth
  • Email address
  • E-reference number (Your employer will advise you of this)
  • A payment card for the update service fee. The payment will be taken securely from your account.
  • The role is not a volunteer role.

Make a note of the unique ID and keep it secure. This ID will begin with the letter C and be followed by 10 randomly selected numbers. We need this to confirm your compliance and to access your update service account in accordance with the Safeguarding on Transport Policy.

Information received through the DBS process will be used to determine if you are suitable to work on our contracts. Where disclosures reveal convictions, caustions or soft information, applicants will be required to provide the original copy of their certificate for consideration of suitability this can be done either in person at a pre-arranged appointment or via post
